Data Retrieval Services
The professional staff at DMI can extract and summarize data upon request from many campus-wide computerized databases, including

  • Payroll/Human Resources
  • Finance
  • Activity Reporting System
  • Student records
  • Admissions
  • Financial Aid
  • Degrees
  • Course and Instructor information
  • Schedule of classes

Reports, graphs, or downloads from both current and historical information can be prepared to the user's specification.

In addition to data retrieval, other services available include statistical analysis, predictive modeling, and building web systems to solve administrative information needs. In general, campus units are not charged for these services.

Targeted Mailing lists
We are also able to created targeted mailing lists of employees or students, selecting based on criteria specified by our clients. Please note that we rarely provide these lists to requestors; the lists will be sent to the Mailing Center for paper mailings (US or campus) and to CITES Targeted Massmail facility (for emails). These units will also require payment for services; CITES will charge $150 for each targeted mass mailing.

Campus policy requires permission of the Associate Dean of Students (Rhonda Kirts) for mass emails to students and permission from the Associate Provost for Human Resources (Elyne Cole) for any mass emails to faculty or staff.

Charges: we will charge a minimum of $75 to produce a targeted mailing list. Actual charges will be based on the complexity of the mailing list requested and university resources required to produce it. Rush jobs (less than 2 weeks turnaround) will be assessed a surcharge of $50. All payments must be processed using a University account number (C-FOP).

Alternatives:
  • Campus Mail has pre-configured lists for all academic staff, all civil service staff, and all students.
  • CITES has a Massmail facility that can email faculty, academic professionals, civil service staff, graduate, or undergraduate students. Massmail requires campus-level approval.
  • The campus e-week system distributes a set of notices weekly to all faculty and staff on campus through email.
  • Ads can be purchased in the Daily Illini

Timing/estimates: We cannot provide an exact count for printing purposes until we run the job. If you need an estimate earlier, we will run the job earlier and you may incur a "rush job" surcharge if we have less than two weeks notice.

Limit of Liability Management Information staff members try to ensure that the resulting lists are exactly as requested by the client, but occasionally errors are made. We encourage the client to look at any counts and reports produced describing the targeted list and bring any unexpected results to our attention immediately. Management Information's liability for programming errors extends only to immediate replacement of any incorrect file; we do not assume any financial responsibility for additional client costs due to errors made in our list production.
Survey sampling services
Our staff can build random and random stratified samples of students or staff for survey research projects using complex criteria. We will provide the researcher statistics on the population and selected sample, and can consult with researchers on the management of the survey. The following conditions must be met by the project:
  • Review and approval of the survey instrument and procedures by the Associate Provost for Management Information (Carol Livingstone)
  • Permission of the Associate Dean of Students (Rhonda Kirts) for surveys of students
    or permission from the Associate Provost for Human Resources (Elyne Cole) for surveys of faculty or staff.
  • Approval or exemption for the survey from the campus Institutional Review Board
  • No more than one initial e-mail and one followup email will be approved.
  • No invitations will be sent out during finals week
  • Charges for creating the lists will be as described above under targeted mailing lists; charges will be waived for a UIUC dissertation project.
  • A university account number (C-FOP) or advance payment by a check made out to the University of Illinois.
  • Student projects require an email of support from the faculty sponsor
  • Only rarely are full population surveys approved; please consider a random sample instead.
Please note that obtaining these permissions may take several months, so researchers should plan to begin the process early in order to complete a survey before finals week.

As with targeting mailings, we rarely provide these lists to requestors; the lists will be sent to the Mailing Center for paper mailings (US or campus) and to CITES Targeted Massmail facility (for emails). These units will also require payment for services. For small surveys, Management Information may handle the email process internally. Not having accesss to the original list of invitees may affect the survey procedures, so researchers are strongly urged to meet with the Associate Provost for Management Information before submitting an IRB application.

Special note for surveys of students of certain nationalities: We frequently are asked for samples of international students from certain countries. One faster and cheaper alternative to our creating a special list is to contact a student organization for that group of students. External Reporting/Surveys
The Division of Management Information is responsible for preparing the information used in the annual IBHE Cost Study, for Federal A-21 reporting, and for accreditation reviews. We also provide data for annual surveys by Money Magazine, US News & World Report, Barron's College Guides, and many other specialized surveys.

Campus administrators and faculty who receive external requests for campus-wide information are encouraged to contact DMI staff for assistance in obtaining "official" statistics.

Other Responsibilities
  • Campus Codebooks
    The Director of the Division is the campus coordinator for all changes to college, department, division, and curriculum codes and names. Departments considering making such a change are invited to consult with the Director early in the process.
  • Effort Reporting
    State and federal regulations require the campus to monitor the effort spent on teaching, research, public service, and other activities by all academic and graduate assistant employees located in Urbana. DMI is responsible for collecting and verifying this effort information.
  • Course Information Processing
    DMI is responsible for summarizing all section and course information for the campus. We collect and verify instructor information for all sections offered and we calculate the instructional units (IUs), student registrations, and contact hours credited to each department and to each instructor. We maintain a permanent history of all courses offered and the enrollments each term.
  • Report of Non-University Activities
    Management Information supports the collection of these reports for the Urbana and Chicago campuses and the University Administration by creating checklists lists of employees.
  • International student/staff reporting
    Management Information maintains a server and software allowing the Urbana and Chicago campuses to provide mandated federal reports on international students, faculty and staff.
